Procedure for recording academic achievements

 Admissions to module final exams are only possible once the corresponding prerequisites have been fulfilled.

Examination Regulations

In the examination regulations for the bachelor's and master's programs of the Faculty of Arts, it is stipulated that admission to module final exams is only possible when the corresponding prerequisites have been fulfilled (§3, Para. 1; §10, Para. 2b; regulations in the program-specific provisions).

This includes so-called study achievements, which must be provided as (ungraded) prerequisites for admission to module final exams during the lecture period as part of courses. The specific study achievements to be completed within a module (such as presentations, protocols, reports, etc.) are specified in the program-specific module plans of the examination regulations or are announced by the instructors at the beginning of each semester. Additionally, the institutes of the Faculty of Arts must transparently display the required study achievements in the electronic course catalogue in BASIS.

Connection of Study Achievement and Exam Admission

Successfully completed study achievements for a module must be recorded in BASIS (by instructors and/or staff of your study program). This is done at the end of each semester, but it is technically only possible if courses have been correctly enrolled in (see below!).

For all modules concluding with written or oral exams, a technical link of study achievement recording and admission to the module final exam has been practically implemented since the winter semester of 2015/16, in line with the procedural logic required by the program-specific provisions of the examination regulations. This means that electronic admission to the module final exam in modules with written or oral exams only occurs if the study achievements required in the courses have been genuinely completed and recorded by the instructors and/or program coordinators in a timely manner (participation in the respective module final exam is not possible without this admission!). This ensures, on the one hand, that exam admissions in practice adhere to the conditions and prerequisites defined by the departments and, on the other hand, that all study achievements for a module are included as course enrollments in the transcript of records.

For modules concluding with a term paper (or similar forms), the described technical linkage will not be applied since, in these modules, due to the individual timing of seminar-related registration, processing, and submission of the exam performance, the chronology of study achievements completed first and the subsequently completed module exam is often not practical. In these modules, points are not immediately recorded after grading the term paper but only when all sub-achievements (other required course-related study achievements) have been completed and recorded.

Correct Enrollment in Courses

For this process to proceed smoothly, the cooperation and attention of the students are crucial:

Study achievements can only be recorded if the courses, which should be included as study achievement enrollments in the transcript of records for the semester, were correctly registered in BASIS beforehand (or during the late registration phase). Therefore, students are strongly advised to check at the beginning of each semester whether all courses have been correctly booked into BASIS. In case of enrollment problems and uncertainties, please contact the academic advising, your program managers, and academic administrators early on so that corrections can be made if necessary. Also, make use of enrollment support services provided by the dean's office.

Independently check each semester that all completed study achievements (and, of course, exam achievements) have indeed been correctly recorded and inform your academic advising of any errors or gaps.

Utilize the late registration phase of each semester to make enrollment corrections independently via BASIS, i.e., to deregister from courses that are no longer needed but are still enrolled and to enroll in courses that you have joined since the beginning of the semester.

For each enrollment, keep in mind: beefore contacting BASIS support or your academic advising in case of registration problems, always check the following.

  • Correct enrollment status: Students on leave cannot enroll in courses!
  • Module prerequisites: In some subjects, advanced and specialized modules can only be taken if the corresponding basic modules have been successfully completed (see the respective module plan in the examination regulations).
  • Recorded study achievements: When enrolling, ensure that courses previously enrolled in and recorded as study achievements within the module in a past semester are not re-enrolled (e.g., two-semester module with two seminars – Seminar slot 1 already has a study achievement – you now need to enroll in Seminar slot 2!); before enrolling, compare the previously recorded module components (lectures, seminars, exercises, etc.) with your current transcript of records, as otherwise, you risk that correct study achievement recording is technically not possible.
